Terms & Conditions

For all trips operated through Dare to Dream Adventures Pvt. Ltd. a booking contract shall be sent. This contract contains the full details and dates of the trip booked, the payment schedule, and a statement of any money paid. We require confirmation in writing that all details are correct and that you agree to these terms and conditions.

All personal information obtained will be kept strictly confidential and not shared with third parties, with the exception of using the information to book flights, apply for permits, and make any other essential bookings for your trip.

1. Payment

• To secure your booking, a non-refundable deposit of 30% of the total trip price, per person, is required.
• The remaining 70% is due 60 days before the trip date, to allow all necessary bookings to be made and paid for.
• We reserve the right to cancel your trip should the full amount not be paid by the due date.
• For bookings made within 60 days of departure, the full amount must be paid upfront.
• Payments can be made via bank transfer. Please note that all bank charges must be met by the customer.
• For credit card payments we only accept Visa or MasterCard, and a 4% levy will be added to the total to cover the bank card processing fee.
• All payment details will be provided on the invoice attached to your booking.

2. Cancellation Policy & Booking Alterations

1. No refunds will be available if a client leaves a trip for any reason after its commencement. No refunds are available for any meals, accommodation, or services not used. Dare to Dream Adventures will endeavour to provide any information required to assist clients claiming through their holiday insurance.
2. Should any changes be required to the trip set out in your booking contract, all requests must be placed in writing. We assure you every effort will be made to meet the changes; however, the service is not guaranteed, and any additional expenses will be payable by the client.
3. If you are unable to travel on your original travel date, no refunds are available. We will work with you to allow a change of date where possible; however, any additional expenses encountered will be payable by the client.

3. Cancellations & Refunds

All trip cancellations must be placed in writing to info@daretodreamadventures.com. Cancellations and refunds are dealt with on the following scale:

Please note: for the first three options, we will try where possible to allow a transfer of dates; however, out-of-pocket expenses will be chargeable to the client (for example, costs already paid out for flights and hotels).

Where a discounted price has been applied to a group booking, in the event of cancellation by one or more in the group, the group is liable for any additional costs incurred, including any out-of-pocket expenses.

4. Flight Cancellation Policy

Flight bookings are completely non-refundable and non-transferable.

5. Insurance

It is expected that ALL clients have adequate insurance that covers an appropriate level of altitude for their chosen trip and includes emergency evacuation. Copies of the insurance for each person in the group must be sent to Dare to Dream Adventures before the commencement of the trip. In the event that insurance does not cover any aspect of the trip, the client is fully responsible for any costs incurred.

Arranging adequate, valid travel insurance is solely the responsibility of the client. Dare to Dream Adventures cannot be held liable for any loss, cost, or expense in the event that an insurer declines, delays, reduces, or fails to pay out a claim, or where the client's cover proves insufficient or invalid for any activity, altitude, or circumstance on the trip. It remains the client's responsibility to ensure their policy is comprehensive and valid for the full scope of their chosen itinerary.

6. Emergency Evacuation

Any emergency evacuation will be payable by either the client or their insurance directly to the helicopter company. Guides will help to arrange evacuation in the event it is required. If arranging through the client's insurance, it may not be possible for guides to assist due to data protection. All associated medical expenses are also payable by the client or their insurance.

Every effort will be made by Dare to Dream Adventures guides to discuss any health condition with a client and find the best solution, but our guides reserve the right to make the final decision on whether a client is well enough to continue. The safety of the ill or injured client and of the rest of the group will always be at the forefront of any decision made. In the event a client refuses to follow the recommendation or decision of the guide, they forfeit all professional protection and duty of care of the guide.

7. Dietary Requirements

Any special dietary requirements must be declared at the time of booking so that arrangements can be made before the trip. The company will not be responsible for being unable to deliver special dietary needs at short notice.

8. Passports & Visas

It is the responsibility of all trip members, regardless of nationality and destination, to check with the consulate or embassy of the country they are visiting from for current entry requirements. Passports should be valid for at least 6 months after your intended return date from Nepal.

For many countries, visas can be obtained at your country's Nepal Embassy. There is also the option to obtain a visa on arrival at Tribhuvan International Airport in Kathmandu.

Visa extensions can be applied for. Please see the Nepal government website or contact the Nepal embassy in your country for more information.

9. Health & Experience Requirements

We ask all clients to complete full health details on their booking form. This is for the safety of all our customers. We also ask clients to tell us more about their experience — this is especially important for technical climbs, as some trips require minimum entry requirements to take part. This is purely for safety. Dare to Dream Adventures reserves the right not to take clients on their chosen trip if we do not feel they are well enough, fit enough, or sufficiently experienced to do so safely.

10. Additional Expenses

Every effort will be made by Dare to Dream Adventures to maintain the contract. However, there is always the possibility of certain items — such as airfares, fuel costs, entrance fees, and permit fees — increasing in cost without prior notice from the government authorities in Nepal. In the rare but unfortunate situation that this arises, the difference in cost will be payable by the client.

Dare to Dream Adventures acts only in the capacity of agent for the hotels, airlines, transporters, and contractors providing other services. All exchange orders, receipts, contracts, and tickets issued by us are subject to the terms and conditions under which these services are provided by the actual suppliers.

11. Liability

We shall not be held responsible for any delays or alterations to the trek, or expenses incurred directly or indirectly, due to natural hazards, flight cancellation, accident, breakdown of transport, weather, sickness, landslides, closures, or blockades due to political unrest or any such incidents.

We shall not be responsible for any loss, injury, or damage to person, property, or otherwise in connection with any accommodation, transportation, or other services resulting directly or indirectly from any act of nature, dangers, fire, accident, breakdown of transport, strikes, thefts, epidemics, or any other causes beyond our control.

We do not hold any insurance policy covering the expenses for accident, sickness, or loss of your personal belongings due to theft or any other reason. Visitors are required to seek such an insurance policy in their home country. We ask all clients to provide copies of insurance before the commencement of the trek. All baggage and personal property are carried at the client's own risk at all times.

12. Validity

This information is valid at the time of publication but is subject to change without prior notice. Should any changes occur, they will be posted on the website immediately. Should the terms and conditions change after the deposit is paid, the terms and conditions under which the deposit was paid shall apply.

13. Unused Services

No refunds or exchanges can be made with respect to accommodation, meals, sightseeing tours, transport, or any other services included in the trekking, expedition, or tour price if they are not utilised by the trip members.

14. Child Discount

One child under four years old is generally considered for a reduction of 50% of the trekking or tour cost, provided they are accompanied by at least two full-paying adults and stay in the same room. An extra bed is provided free of charge.

15. Currency Fluctuation

All tour prices are based on US dollar (USD) foreign exchange rates at the time of publication. Prices may change in the event of increased land or air costs beyond the company's control. The company reserves the right to alter the price of any tour due to currency fluctuation. Any price increase will normally be notified 60 days prior to departure.
